Housing requests are evaluated on an individual basis with regard to the documentation provided and the impact of disability upon the student within the residential campus environment.
Priority Consideration Deadlines
Summer Semester Priority Registration Deadline with documentation:
- Current students: January 14
- New students: March 17
Fall Semester Priority Consideration Deadline with documentation:
- Current students: January 14
- New students: May 19
Spring Semester Priority Consideration Deadline with documentation:
- Current students: January 14
- New students: October 15
Requests made prior to these dates without documentation will be dated when our office receives the necessary documentation for review.
A 60-day notification to Student Accessibility Services (SAS) prior to check-in is mandatory if a disability student requires:
- Personal care assistant (student is financially responsible for the assistant as well as their living space, if needed.)
- Installation of safety technology (i.e. visual fire alarm for the deaf, voice-activated evaluator, etc.)
Requests for private rooms, as an accommodation for a disability, based solely on the desire for a quiet, distraction-free place to study are unlikely to be granted. The primary purpose of a dormitory is to sleep. Study spaces can be found across campus for use most hours of the day.
Guidelines for Housing Accommodation Requests Due to Disability
Students may qualify for housing accommodations based on the functional limitations of the documented disability. To request a disability-related housing accommodation, a student must submit verifying professional medical documentation from a licensed provider who has been responsible for the ongoing treatment (or one who has access to past medical history) of an impairment that substantially limits one or more major life activities of the individual.
- For disability due to a medical condition, diagnosis by a licensed medical professional with expertise in the area of concern is required (physician, physician assistant or advanced practice nurse practitioner).
- For requests related to a psychological or mental health disorder, diagnosis by a licensed mental health professional is required (licensed clinical social worker, licensed professional counselor, psychologist, psychiatrist or advanced practice psychiatric nurse practitioner).
Please note that a medical diagnosis and recommendation for a particular accommodation alone do not establish a disability-related need for housing accommodations. A student's professional healthcare provider documentation, in English, must establish the following for a condition to be considered a disability:
- Compelling evidence, including treatment history, to indicate the impact of a physical or mental health impairment that limits the student's participation in a significant life activity
- A substantial degree of functional impairment
- Sufficient explanation of how the requested housing assignment relates to the current impact of the condition
The diagnostician must be an impartial evaluator who is not a family member nor in a dual relationship with the student. Providers should follow ethical standards for their licenses to practice in the student’s home state or in the same state as the residential campus location.
SAS and Housing and Residence Life work collaboratively to provide appropriate accommodations for students who are eligible to live on campus. Housing and Residence Life staff assign rooms based on availability.
While applications and documentation can be submitted year-round, SAS encourages students to observe the priority consideration deadlines to ensure the student has the best chance of receiving an on-campus assignment that meets the approved accommodations.
Determining Factors
The severity of the disability will be used to determine if the requested accommodation is reasonable.
- Is the impact of the disability life-threatening if the accommodation is not provided?
- Is there a negative health impact that may be permanent if the accommodation is not provided?
- Is the accommodation an integral component of a treatment plan as indicated by a licensed physician?
Housing Accommodation Limitations
Embry-Riddle is unable to:
- Prioritize the provision of a low-distraction living environment accommodation based solely on a diagnosis of ADHD or a learning disability.
- Honor housing accommodation requests for a specific room assignment, residence hall assignment or roommate assignment.
- Provide a dust, mold or allergen-free housing accommodation. We make every effort to maintain cleanliness throughout our residence halls. It is up to each student to maintain the cleanliness of their room.
- Grant housing accommodations, including exemptions, solely based on a diagnosis of an allergy. While we recognize that allergies can be challenging, they are rarely a basis for a housing accommodation or for exemption from housing requirements. If you have a medical condition that significantly impacts your ability to live in campus housing, please reach out to discuss possible reasonable accommodations.
